The short version

What we store when you share

Texts and files

For a shared text we store the text itself and the time it was shared. For a shared file we store the file, its original name, its type and size, and the time it was uploaded. Files are kept with our file storage provider; texts and file details are kept in our database.

Both are deleted automatically 24 hours after the room was last opened. Opening or refreshing the page in that room, or downloading a file, starts the 24 hours again. Anyone in the room can also delete an item earlier.

Which room you're in

Network sessions are grouped by your network's public IP address, the address our server sees when you connect. That address is stored together with the room's texts and files, as the room's name, for as long as the room has anything in it.

Private Rooms are named by a random ID that your browser creates. That ID is stored together with the room's texts and files instead of your IP address. Anyone who has the room's link or QR code has the ID and can open the room.

Canvas drawings

Drawings on the shared canvas are saved under the room's name, the same as its texts and files, so they're still there when you come back. Like texts and files, a drawing is deleted automatically 24 hours after the canvas was last opened, or as soon as someone in the room clears it. The display name you choose for the canvas is kept in your browser and, while you're connected, in our server's memory. It is not saved in our database.

Video calls

Audio and video go directly between the devices in the call. When a direct connection isn't possible, they're relayed through a TURN relay service. Calls are not recorded. For each participant we keep anonymous call statistics: the room type (Network or Private), when they joined and left, how long they stayed, how many others were in the call, whether they shared their screen, and how the call ended. These statistics contain no IP address and no room ID.

Pro waitlist

ShareByWiFi Pro isn't available yet. If you join the waitlist, we store your email address, the date, the site language (English or German) and which planned price you were shown. We use your email only to tell you when Pro launches, and we never share it.

To limit abuse, our server counts sign-up attempts per IP address in memory for up to an hour. The IP address is never saved.

Feedback and contact

If you send us a message through the Feedback/Contact form, we store your message, the date, and your name and email address if you entered them (both are optional). We keep these messages so we can read them and reply. We don't store your IP address with them.

Usage statistics

To see how the site is used, we keep anonymous daily counts. Each count holds only the date, the type of event (text shared, file uploaded or item deleted), the session type (Network or Private), for files a size range such as "1–10 MB" and a file type category (image, PDF, video, audio, document, archive or other), and for texts a length range (under 100, 100–1,000 or over 1,000 characters). The file type is worked out from the file's extension or type and the name itself is never stored. We also count total visits, and uploads that were turned away for being too large (by size range only). None of these counts contain texts, file names, IP addresses or room IDs.

What we don't store

Our hosting provider may keep its own technical logs under its own privacy policy.

Who can see and delete what you share

Network sessions are visible to everyone on the same network, including people who join later. Because they're grouped by public IP address, "the same network" can be bigger than your own WiFi: in offices, schools, hotels, on public WiFi and with some mobile carriers, many people share one public IP address and would see the same room.

Private Rooms can be opened by anyone who has the room's link or QR code, so only share it with people you trust.

Anyone in a room can delete anything in it. That's on purpose: most people delete things from their other device. It also means someone else in the room could delete what you shared.

We recommend not sharing passwords or other sensitive information.

Google Analytics

We use Google Analytics to understand how the site is used, for example which pages are visited, and when a room is joined, a file or text is shared, a text is copied or the Pro button is clicked. The events we send never include your texts, file names, room IDs or email address. They do include details like the session type, the number of devices in the room or a file's size. Google Analytics sets cookies and processes information such as your IP address and device details, as described in Google's privacy policy.

Services we use

Stored in your browser

Your browser keeps a few settings on your device: light or dark mode, whether you're in a Network session or a Private Room, the Private Room ID, your canvas display name, a visit counter, and whether you've dismissed the install or share prompts (used to decide when to show them). These stay on your device. You can remove them by clearing this site's data in your browser.

We don't sell your data

We don't sell, rent or trade any data, and we don't show ads.

Asking us to remove something

You can delete any shared text or file yourself in the room. To have anything else removed, such as your waitlist email or a feedback message, open the Feedback/Contact form (also in the site menu) and tell us what to remove. Include the email address you used if it's about the waitlist.

Changes

If what we store changes, we'll update this page and the date at the top.
